Item Requests

The Item Requests form can be used in the event that items you are accustomed to ordering are no longer available on your hosted order guides. Additionally, if a requirement for new items at your location arises, the Item Requests form allows you to enter detailed and approximate descriptions of the necessary items so corporate agents can see those needs fulfilled.

Important

Only one item should be submitted per request. If multiple items are required, please submit an individual request for each item.

Create a New Item Request

  1. Go to View > Item Requests.

  2. Click the green plus sign to start a new Item Request.

    • Alternatively, if you are viewing an order guide and cannot find the item you need you can go to File > Item Request. This will link your request to the corresponding order guide.

  3. The Request Details tab will be selected by default. If you are a corporate user you will also see a Corporate Data tab.

  4. Select the corporate Agent this request should be sent to in the General Information section.

  5. If this request is time-sensitive select Yes next to Urgent. If this is marked as Urgent, the request will simply have a different indicator. This does not guarantee immediate action.

  6. Select your Location from the drop down box. If you are only assigned to a single location, you will be unable to make changes to this box.

  7. Fill in the Requester Name and Requester Email fields.

  8. Use the Suggested Supplier drop down box in the Item Information section to indicate a supplier that might provide the item you are looking for.

  9. Enter any item details available in the Item NumberItem Short Description, and Sales Price fields.

  10. Use the Request Explanation box to elaborate on what your needs are. Include any Special Instructions in the corresponding box.

  11. Use any of the remaining fields to help your corporate agent determine the item to best fit your needs.

    • Use Substitute Available to indicate that a similar substitute item is currently available in the EPRO system.

    • Asset Tracking Request options only apply to managers trained in Asset Tracking. Altering this option will not effect your Item Request.

  12. Scroll to the top of the page and click Submit Request when complete.

  13. Updates and comments from the approval person can be found in the Item Requests list. Click the drill down arrow to view more info > select the Notes tab > find comments in the Approval Notes section.

Full definitions

  • Optional Fields Visibility – Hides/Shows Optional Fields

  • Agent Dropdown– Select a corporate agent to direct the request to.

  • Urgent – Toggler to select if request is urgent

  • Location -Select a location that the request applies to

  • Requester Name - Enter the full name of the requester

  • Requester Email - Enter the requester's email address.

  • Requester Explanation - Provide an explanation for the request.

  • Special Instructions - Provide any special instructions pertaining to the item

  • Substitute Available - Toggler to select if a substitute is available

  • Asset Tracking Request -Toggler to request asset tracking

  • Item Number - If known, enter supplier item number. If unknown, enter ‘unknown’

  • Item Short Description -Enter a short description of the item

  • Attachment - Attach a file to the item information

  • Replace Part Request - Toggler to select if the request is for a replacement part

  • Suggested Supplier -Suggested a supplier for this item. If unknown, leave blank

  • Initial Quantity Requested - Enter the requested quantity

  • Sales Price - Enter the sales price

  • Long Description - Enter a detailed description of the item

  • Manufacturer Name - Enter manufacturer name

  • Model Number - Enter a model number

  • UOM (unit of measure) - Enter a unit of measure (ex: EA, CS)

  • Pack Size - Enter pack size

  • Attributes

    • Color – Enter color of item

    • Weight - Enter item’s weight

    • Item Size - Enter items size (ex: Small/Medium/Large)

  • Categorization

    • System Category - Select a category for the item

    • System Sub -Category - Enter a sub category for the item

    • Supplier Category - Select a supplier’s category for the item.

    • Buyer Category - Enter a buyer’s category for the item

  • Additional Information – Enter any additional information or comments
